Implementing HSM Policies

Hierarchical Storage Management (HSM) is a process of moving older data to a secondary storage device. To manage your email storage resources, you can implement a HSM policy that defines what items are moved and at what age they should be moved. Messages and attachments are moved from a primary volume to the current secondary volume based on the age of the message. The messages are still accessible. Users are not aware of any change and do not see any noticeable differences when opening older items that have been moved.

You can implement the HSM policy globally or per server. Implement a global HSM policy from the Global Settings> HSM page, or to implement a HSM policy for each mailbox server, select the server and open the Volumes page. The policy configured on individual servers overrides the global policy.  

The default global HSM policy moves messages and briefcase files more than 30 days old to the secondary volume.  You can also select to move tasks, appointments, contacts, and notes.

You can change the 30 day age policy to specify an age in months, weeks, hours, or minutes. In addition, in the Policy string field you can enter search queries to set up additional HSM policies. For example: if you wanted all messages marked as junk to be included in messages moved to the current secondary volume, you would add the following to the policy string: message:in:junk before:-[x] days.  

Sessions to move items to the secondary volume are scheduled in your cron table. You can manually start a HSM session from the Server's, Edit toolbar.

You can configure

  1. Go to Configure>Global Settings or Configure>Server. For servers, select the server and in the gear icon, click Edit.

  2. In the Volumes page, HSM Policy section, set up the policy
